The PeopleReady located at Milford Connecticut 6510 is currently hiring a Office Assistant Job Description Reporting to the Executive Director and providing administrative support to shelter program and soup kitchen staff as directed. Understands and demonstrates a commitment to the mission of Beth-El Center Inc. and maintains order in a manner consistent with the mission. Exercises good judgment. Interact with staff clients vendors volunteers donors and others in a professional respectful manner. Maintain the highest ethical and professional standards. Responsibilities Provide support to the Executive Director including but not limited to managing an Outlook calendar preparing meeting material transcribing or composing correspondence memos and reports distributing mail mass emails and mail merge. Maintain current board orientation manual and monthly file for board meeting materials. Provide office services by implementing administrative systems procedures and policies and monitoring administrative projects. Creates and revises systems and procedures by analyzing operating practices recordkeeping systems forms control office layout and suggesting changes where appropriate. Ensures operation of equipment by completing preventive maintenance requirements calling for repairs maintaining equipment inventories evaluating new equipment and techniques. Maintains supplies inventory by checking stock to determine inventory level anticipating needed supplies placing and expediting orders for supplies verifying receipt of supplies Maintains level of office support by recruiting selecting orienting and training volunteers in collaboration with the Director of Programs and Facilities and the Soup Kitchen Manager. Prepare and distribute board meeting packets and meeting reminders. Assist in organizing annual meeting and special functions as needed. Using a variety of software packages such as Microsoft Word Outlook Power Point Excel Gift Works etc. to produce correspondence and documents and to maintain records spreadsheets and databases. Making bank deposits and providing payroll information to payroll service. Maintains files with copies of deposits vendor invoices and payments and payroll information and provide copies of all relevant bookkeeping information to the accountant. Answers phone screens requests and field calls as appropriate. Greet guests visitors and donors offer hospitality. Maintain a stock of and arrange for greeting cards on behalf of the organization. Maintain a list of staff birthdays and notify ED of impending dates. Maintains professional and technical knowledge by attending educational workshops reviewing professional publications establishing professional and community Qualifications Supply management verbal and written communication delegation managing processes inventory control reporting skills administrative writing skills Microsoft and Excel office skills problem solving and knowledge of and skills in manipulating social media.
