Demonstrate EXTENSIVE computer skills 3. Ability to communicate effectively 4. Two years previous experience in secretarial clerical and or accounting field (preferred) 5. Demonstrate the ability to interact with staff and guests 6. Type accurately at 40 words per minute pass Word and Excel testing (REQUIRED) Testing must be completed (and passed) before applicants are eligible for an interview. Job Goals Responsible for supporting the efficient and professional operation of a department administrative office. Provide general administrative assistance to department staff by performing assigned department processes projects answering and screening phone calls greeting the public preparing written communication receiving and responding to inquiries and requests performing department financial responsibilities monitoring staff time and attendance creating reports and or maintaining office appearance and operations. Essential Job Functions 1. Coordinate substitute calling attendance tracking system. Maintain all aspects of system. Ensure all guest (substitute) and employee information is accurate at all times. 2. Responsible for ensuring all absences that require a guest (substitute) are filled with the most qualified guest (substitute) for the position. 3. Maintain communication between Human Resources and Payroll. Ensure all guest (substitute) time worked is entered into the payroll system using the interface between the substitute system and payroll system. 4. Perform final review of payroll pay docks with payroll and administrators. Enter corrections in leave time as necessary. Compile spreadsheet of monthly docks for administration review. 5. Work closely with payroll to correct errors in pay for guests (substitutes). 6. Serve as a back-up for the Secretary to the Administrative Receptionist. 7. Maintain complete and accurate personnel files for all district guests (substitutes). 8. Maintain guest (substitute) licensure and CDE Highly Qualified status for long-term guests. 9. Responsible for new guest (substitute) orientations. 10. Complete and maintain I-9s for all district employees and district guests.11. Responsible for running monthly semi-annual and annual employee attendance reports.12. Compose and type communications including flyers newsletters bulletins memos etc. using office technology effectively.13. Monitor manage and record staff time and attendance using the interface between the attendance tracking system and the HR Payroll system. Track leave of absence vacation time leave requests donated leave time and approvals. Respond to inquiries from District staff.14. Gather analyze enter and compile data for reports and or communications.15. Maintain an orderly professional office appearance and workspace.16. Introduce Absence Management to new employees in new employee orientations17. Cover leave policies and use of leave forms in new employee orientation18. Perform other duties as assigned. Willingness to contribute to cultural diversity for educational enrichment Ability to recognize the importance of safety in the workplace follow safety rules practice safe work habits utilize appropriate safety equipment and report unsafe conditions to the appropriate administrator Salary Guest Services & Leave Specialist is a Grade 8 on the Classified Salary Schedule.- FFC8 allows new hires to bring in up to 8 years of previous experience in similar school type settings.- Please understand that new hires tend to start out at the lower end of the salary range. Classified Salary Schedule Employment Period 261 days per year - 8 Hour Work Day
