Administrative SecretaryRegular Full-TimeBronx NY USAbout the Program At Graham Windham our Family Foster Care programs help children to get back to their families adopted into a new family or connected to someone who is willing to be an anchor for children throughout their childhood and into adulthood. To help us do that we have hundreds of loving & highly qualified foster parents primarily in Brooklyn Manhattan the Bronx and Westchester County- who serve as our foster children s substitute family. About the Position Graham Windham s Family Foster Care program seeks an Administrative Secretary to primarily support the program s administrative requirements. This role is pivotal to the program this staff member will efficiently attend to a range of responsibilities will look for and implement efficiencies and will initiate new tasks and functions as needed. Duties & Responsibilities (but not limited to) Manage day to day operations of reception area including Answering the telephone greeting clients ordering office supplies and equipment maintaining the staff sign-in Work with site Director on special projects Type letters required reports and written material for appropriate staff Ensure staff attendance and time sheets are accurately prepared and submitted to central office for processing Responsible for payroll distribution and check requests Reserve appropriate space for all meetings conferences and training Submit required reports timely Manage petty cash Maintain all office equipment Receive sort and distribute all incoming mail accept and distribute all incoming deliveries General correspondence and provide administrative support as necessary Participates in relevant training and seminars maintains and applies a current knowledge of necessary clerical and computer skills Other duties as assigned Required Qualifications Requires High School Diploma or equivalent Bachelor s Degree preferred Min. 2 years experience vocational training or a combination of both is required) Time management and organizational skills Computer literate familiarity with use of computers and software systems including Connections spreadsheets database internet e-mail and other systems Knowledge of records management procedures Excellent verbal and written communication skills Ability to work with diverse populations Personable and Team oriented Independent thinker Quantitative mathematical ability (addition subtraction multiplication division standard measurements). Full Time Position 19 Per Hour. EOE
