DESCRIPTION We are seeking an Administrative Coordinator to work at our Clinical Skills Evaluation Center (CSEC) located in Philadelphia PA. In consultation with Center Management this position handles various aspects of Standardized Patient (SP) operations including generating SP exam schedules implementing SP case assignments projecting and recommending SP staffing needs capturing and tracking SP demographics initiating and coordinating SP recruitment orientation and workshops ensuring effective scheduling to achieve SP-case calibration. This position also involves completion and submission of HR paperwork.DUTIES Responsibilities and Duties for this position include 1. Manages all SP operations in an effective and efficient manner. 2. Assigns computer generated test forms and insures all forms are consistent with test specifications. 3. Anticipates SP staffing needs as required by the exam blueprint and makes recommendations for SPs to be hired. 4. Recruits and interviews applicants to SP program. 5. Schedules and facilitates SP application sessions and SP hiring procedures in conjunction with ECFMG Human Resources. 6. Schedules physical assessment and training of SPs as well as preparing SPs and paperwork for these sessions. 7. Generates and controls paper material flow for the USMLE Step 2 CS and related studies including SP case copies and Day Control forms and other written communications. 8. Edits and adjust SP Kronos timekeeper records for the CSEC Manager and track SP expenses. 9. Oversees the maintenance of paper case files for exam administration back-up use including additional SP specific materials. 10. Communicates to Assessment Services Central Office and NBME Case Materials Development staff in coordination with Center Manager to a. Coordinate SP case nominations in conjunction with Center Manager and Medical Advisor. b. Track and schedule ad hoc cases into the live examination for calibration. c. Organize administration of SP finals including scheduling of physicians SPs and CSE staff. 11. Schedules all SP non-exam activities. 12. Communicates with other SP Operations Specialists regarding form creation and other standardized procedures. 13. Works with MIS to solve problems and make recommendations for improvements and or changes to software applications. 14. Trains AODs and TODs on the use of SP related software. 15. Serves as Trainer on Duty as needed. QUALIFICATIONS Candidates for this position should have a minimum of 3 years experience in administration and project management. Candidate should have experience with employee recruitment scheduling and supervision. Experience in medical education and or testing administration preferred. Being exposed to a high-pressure deadline oriented environment is a plus. A Bachelors Degree is preferred The skills required for this position include 1.
