Job Description Bookkeeping - Enter invoices process checks weekly prepare coupon books apply quarterly maintenance posting post payments make deposits process delinquent owners with attorney prepare monthly comparative balance sheet prepare monthly income and expense statements journal entries prepare year-end financial statements assist auditor for year-end audit report to board on financial issues assist in preparing yearly budgets assist in preparation for annual meeting assist property manager in all aspects of homeowner problems and condo unit owner problems. Process payroll through outside service. Administrative Assistant - Answer telephone greet & assist all residents visitors and vendors. Complete necessary work orders and verify completion of all requests and report back to homeowner or manager as needed. Assist property manager with Board packages and attend meetings. Take minutes at Board Meetings and transcribe (when required). Prepare newsletters when required and maintain website. Check incoming emails and respond or distribute as required. Maintain files records and forms in an orderly manner. Maintain property owner database for all associations including authorized email addresses for residents. Accept and process the proper paperwork for transfer of property (sales) or leasing of property. Complete estoppel letters and issue right of refusal. Handle all correspondence in a timely manner. Track electric and water usage. Order supplies maintain office equipment and the day to day operation of the office. Various other tasks that require attention or as directed by the Property Manager.
