Professional Land Surveyors has a great opportunity for an administrative professional that resides in the Novato or surrounding area. This position titled Administrative Assistant is primarily responsible for day-to-day office management and providing administrative support to the organization. Candidates should possess good skill sets have the ability to juggle multiple tasks expertly and are passionate about producing sound administration work. RESPONSIBILITIES INCLUDE Operate all office computer equipment and software effectively. Individual must be an advanced user of both Microsoft Word and MS Excel. Experience in Quickbooks Access and Outlook Express is required. Create type and accurately proofread proposals work order contracts and communications Order maintain office supplies. Ensure literature stationary report paper computer supplies printer supplies and other miscellaneous items are stocked adequately. Generate all paperwork to order reconcile and process office supplies. Monthly invoicing statements reconciliations and financial reporting from QuickBooks. Accounts receivable including collections. Accounts payable Payroll submission to 3rd party payroll provider Receive and route main line incoming calls in a professional manner. Record messages and provide timely and accurate handling of office communications. Welcome office visitors and refer them to the proper contact. Maintain and file office documentation on a timely basis (i.e. correspondence reports facsimiles phone messages sorting mail etc.). Maintain neat and orderly appearance throughout entire office. Contact landlord for timely office repairs. Assist with special projects as required. REQUIREMENTS Minimum high school graduate. College degree preferred but not required. Minimum of 3 years administrative experience in a corporate environment.
