Executive Assistant - Job ID 2395 Position Overview Our client based in Prince George is seeking an exceptional Executive Assistant for a Temporary 3 months assignment. This role would involve supporting the Office of the President with all aspects of Arranging Meetings taking minutes transcribing and other tasks as required. The position calls for high attention to detail excellent time management multi-tasking skills and the ability to work in a very confidential manner. Responsibilities Monitor act upon and respond to emails sent to the President Update President s Calendar on a daily weekly basis Track all subscriptions for the President s Office Process subscriptions and membership renewals Reconcile all financial statements on a monthly basis Reconcile all expenses related to President s travel both domestic and international Summarize the President s travel expenses for approval by Board Chair on a monthly basis Process travel claims Draft all correspondence on behalf of the President Provide support to Presidents Council- as required. Determine agenda coordinate presentations book meeting rooms order refreshments as required compile meeting materials distribute. Update President s Monthly Activity Log Event Planning Coordinate and Prepare all external internal meetings across several offices. Receives screens and handles telephone calls. Regularly handles confidential material and information with high discretion and professionalism Performs other general administrative duties such as ad hoc projects filing faxing ordering mailing etc. Handle highly sensitive and confidential matters as part of daily administrative duties Prepare reports and financial data construct post and follow-up on reports Answer phones direct calls organize and manage conference calls Prepare and coordinate materials for presentations and meetings attend and prepare meeting minutes Follow up and act as a liaison with internal and external contacts at all levels of the organization Coordinate and complete various special projects assignments as required Administrative duties such as couriers copying scanning filing and general support Requirements A minimum of 5 years of relevant experience as a Executive Assistant for the management team Vast experience in taking minutes and transcribing Advanced proficiency in MS Office suite with excellent capabilities to quickly produce high quality documentation and reports as necessary Knowledge of Dropbox preferred Ability to handle highly sensitive and confidential information with tact and discretion Detail-oriented and takes the initiative Must have reliable transportation Excellent interpersonal and communications skills to negotiate confidential information with discretion Demonstrated ability to manage and prioritize multiple tasks with strong attention to detail Ability to provide admin support to the President s office Positive proactive and strong decision-making abilities Outstanding work ethic able to succeed and thrive in a fast-paced business environment Works well under pressure with exceptional multi-tasking and prioritizing skills City Prince George BC To APPLY Register and Submit Your Resume to this job at excel.bc.ca opportunities Job 2395 (Resume s accepted only in Word Document format)
