Customer Service Representative - Bangor

The Customer Service Representative is the first point of contact for Sweetser and will provide exceptional customer service while projecting a positive and professional image. Staff will be knowledgeable of available resources and will assist clients who are seeking services by providing information and immediate access to Sweetser programs.ESSENTIAL FUNCTIONS Receive and process all incoming calls using a multiline phone. Answers the phone calls quickly and professionally assists callers and transfers if necessary. Collect and input into Provider all required registration demographic and insurance information when applicable. Assist clients with scheduling and rescheduling appointments in the phone and in person. Check clients in for appointments verifies information for clients is correct and makes changes when needed when applicable. Gather information from clients which may include scanning documentation. Manage client spending accounts through the receipt distribution and monitoring of balances on behalf of clients including maintaining proper internal control over cash and reconciliation with the Finance Department Process client s paperwork including release of information. Demonstrate the ability to operate basic office equipment to include telephone copier fax computer and printer. Maintains staff daily report logs form each shift scans it into current charting system Maintains a sign out sheet for truck and maintains extra house keys log Handles the mail for the office both pickup and delivery Entering incident reports into the DHHS website in a timely manner Collect and store client records. Assist with processes that maintain complete client documentation in accordance with regulations and quality standards. Reports missing client documents to appropriate supervisor. Prepares required program documentation (i.e. letters and other requested correspondence) and notes appropriately in ECR. Maintains staffing sheet vs client staffing needs Maintains supervisor on duty log for the week Admin Support Duties Meet and Greet clients and staff Collect client co-pays and balances money received daily. Prepares report for Cash Disbursements and is responsible for shortages overages. Maintains staff schedules as required for certain programs and on an as needed basis for others. Includes entering holidays and requested time off. Assist with the initiation and maintenance of authorization for services Order supplies for the office as well as other programs as needed. Supports Sweetser initiatives (Meaningful Use Patient Portal) Supports Ready to Complete process in a timely manner when applicable. Performs all other duties as assignedEDUCATION High school diploma with some secondary education preferred or a minimum of four (4) years working in a related field.CERTIFICATES LICENSES REGISTRATIONS Valid state driver s license.EXPERIENCE Experience in a healthcare setting working with insurance companies referral sources. Experience working in a call center environment a plus. Persons with lived experience in the Mental Health and or Substance Abuse system are encouraged to apply.KNOWLEDGE AND SKILLS Strong communication skills Ability to provide exceptional customer service Ability to multi-task and to be flexible.
